Here you will find who we are legally, what data we keep when you send a request, for how long, and how to ask for correction or deletion.

What we keep and why

When you ask for a quote: name, area or postcode, your e-mail (required — that is where your personal link and visit updates go) and, if you give it, a phone number, the furniture description, links and any files you choose to send (photos, screenshots, PDFs). When we book a visit: the full address and access details (floor, lift). We use them only to review the request, quote, carry out the visit and keep the job history.

Legal basis: performance of the contract you request (GDPR art. 6(1)(b)) and, for the history of completed jobs, our tax obligations (art. 6(1)(c)). Please don’t send identity documents or card details — we don’t need them.

Automatic arrival updates

When this service is enabled and we start your trip, the crew’s iPhone sends its location directly to POKO through OwnTracks. We keep only the latest position and show it on your private visit link. Google Maps receives the crew position and visit address to calculate travel time; loading the map also sends Google the displayed position, your IP address and ordinary browser connection details. Sharing stops and the saved position is deleted when we record arrival, cancel the visit or switch to a manual update. Otherwise sharing expires after two hours, and the position is deleted by the next hourly cleanup. Old positions are not presented as live. Arrival times are estimates, not guarantees.

Who sees them

Only the POKO Toolmates crew. Your personal link shows only your visit; our internal notes and work timers are not shown to you. The link is personal — please don’t forward it; it expires after 90 days and we can replace it whenever you ask.

Technical providers (processors): the website, database and files are hosted on Cloudflare (European region, Cloudflare Inc. under standard contractual clauses). Crew sign-in uses Cloudflare Access. E-mail to hello@ is delivered to a Google account. The automatic e-mails to you (link, quote, confirmation, reminder) are sent through Resend (Resend Inc., processed in the EU region — Ireland, standard contractual clauses); it receives only your e-mail address and the message content. Our internal push notifications carry no personal data — only the area. We use no analytics, advertising cookies or AI services on your data; your files are never used to train models.

Files and photos

Files you send are stored privately and used only for your job. Sending a photo doesn’t give us permission to publish it; if we ever want to show your project, we will ask for your explicit consent. Our logo is an illustration — not a photo of a real customer.

How long we keep them

Requests that didn’t become a visit: deleted 90 days after the last message. Completed or cancelled visits: we keep the agreement details as long as tax law requires (up to 5 years); photos and files are deleted 12 months after the visit, or earlier if you ask.

Your rights

You can ask for access, correction, deletion or a copy of your data, and object to processing, by messaging hello@pokotoolmates.gr or through your personal link. We reply within 30 days. If you believe something was not handled correctly, you can contact the Hellenic Data Protection Authority (dpa.gr).

Cookies

The website uses no tracking cookies. It uses only technically necessary storage on your device so your form isn’t lost if the connection drops, and a sign-in cookie for our own crew page at /crew.

Agreements, payments, damage

A request is not a confirmed visit. By accepting, you accept that specific version of the quote and request one of the times we offer; the appointment is valid once we confirm it to you in writing.
